Before a sales professional assumes a manager or vice president position, she must first work as a sales assistant or sales coordinator. Sales coordinators support their company's sales team in reaching monthly, quarterly and annual quotas, as well as work with management and customers to identify resources needed to grow the business. Customer service skills are highly desired in sales coordinator positions since this role helps resolve customer issues and responds to client requests. - Sales coordinators who work with a large sales team route customer calls to the appropriate sales representative, email responses to client questions and requests, and file confidential sales contracts and customer paperwork. These professionals also schedule meetings, process paperwork and follow up with customers regarding invoices, deposits and other billing issues. Sales coordinators may also distribute mail, internal memos and incoming fax messages to sales representatives. Additional duties include helping to write and assemble sales proposals.
- Employers may require that sales coordinators conduct competitor analysis and market research based on specific territories or sales opportunities that their sales teams plan to pursue. For example, the sales coordinator might be asked to assemble a spreadsheet that lists new customers, number of employees, annual revenues and industry sector. Sales coordinators are responsible for keeping this data updated and disseminating the figures to the sales team as requested by the sales manager or VP.
- Sales coordinators are responsible for using computer applications to type and complete sales quotes and other customer paperwork. Coordinators that work in hospitality, event planning or trade show management may be required to create banquet event orders and price quotes for events. Sales coordinators also update the status of sales orders and generate daily, weekly and monthly reports that illustrate sales activity and performance goals. They are also responsible for gathering, analyzing and recording sales data in their company's internal databases to increase sales productivity.
- Speaking with potential prospects and educating customers about their company's latest product at events and trade shows are other tasks. Sales coordinators may be responsible for setting up the booth, staffing registration tables, communicating with external vendors on exhibition details and making sure that the booth and table are stocked with collateral and giveaways. They must also break down the exhibit area and make sure that leftover material is packed correctly and shipped back to the office.
